Calls outside business hours: what SMEs miss every month

In short

Calls outside business hours usually end up on voicemail or nowhere at all – and a significant share of those callers do not call back a second time. Those who cover off-hours win orders without staffing an additional shift.

A significant share of incoming calls in small and medium-sized businesses comes in outside business hours – early in the morning, during lunch breaks, after closing time. These calls end up on voicemail or unanswered. The problem is less the individual missed call than what happens afterward: A large share of callers does not call again, but dials the next number.

Why off-peak times are underestimated

Missed calls do not appear in any statistic that is regularly reviewed in a business. The revenue that is not generated as a result is invisible – unlike an invoice that was issued too late. That is why it always starts with measurement: How many calls actually come in outside business hours, and how many of them later lead to no further contact?

The effect is particularly pronounced in sectors with an urgent need – trades with disruptions and emergencies, care services, workshops, appointment-based services. If you are not reachable here, you do not just lose the order, but often the entire customer relationship.

Why the answering machine only shifts the problem

  • Many callers fundamentally do not leave a message on voicemail
  • Voicemail messages are often incomplete – callback number missing or unintelligible
  • Calling back costs working time again and often does not reach the person
  • Hours pass between the call and the callback, during which the competition was reachable

Availability without an additional shift

The obvious solution – having someone stay on the phone longer – usually fails because of staffing and costs. A viable alternative is to cover off-peak hours with a AI phone assistantto cover: It answers, captures the name, callback number and request in a structured way, and records the case so work can begin immediately the next morning.

The key difference from voicemail is the structure: instead of an incomplete voice message, there is a complete case on file – and the caller has received a response instead of speaking into the void.

Practical example: start with off-peak hours

A typical starting point: the assistant is initially exclusively activated outside business hours. This is the lowest-risk start, because during these times no one is reachable anyway today – the result can hardly be worse than the status quo. Only when the logged processes are convincing will a decision be made on expanding to overflow times.

By the way: The consulting and guided implementation of such assistants is eligible for funding. Through INQA-Coaching80% of consulting costs are covered, up to €11,520. Funding applies to the implementation, not the software itself – the Funding Check shows in a few minutes what is eligible for you.

Frequently asked questions about calls outside business hours

How do I find out how many calls I miss?

Most phone systems and VoIP providers log incoming calls, including those not answered. An evaluation over two weeks is usually enough to identify patterns by time of day and day of the week.

Do customers accept a digital assistant in the evening?

In our experience, yes, provided it is transparent that an assistant is responding and the request is reliably captured. At these times, the alternative is not a person, but voicemail.

Can I also cover emergencies with it?

The assistant can ask about urgency and immediately forward emergencies to an on-call service. You define in advance what counts as an emergency.

Do I need to change my phone system for this?

Usually not – in most cases, a forwarding rule for off-peak hours is sufficient. During the day, everything remains unchanged.
