AI document search: find company knowledge instead of searching for it
With AI document search employees ask a question in plain language – “What is the notice period in the framework agreement with supplier X?” – and receive an answer with a reference to the source in your own documents. Unlike a traditional file search, it also finds content when different wording is used, and summarizes the relevant passage. Existing access rights remain unchanged.
Where traditional document search reaches its limits
- Search only finds exact words – anyone looking for “vacation policy” will not find the “absence policy.”
- Results are entire files; you still have to find the actual answer yourself.
- Knowledge is spread across drives, email attachments, and different applications.
- New employees do not know where to look – and ask colleagues instead.
How AI document search works
The technology behind this is called Retrieval Augmented Generation (RAG): your documents are indexed so they can be searched. When a question is asked, the system first looks for the relevant passages and lets the language model respond exclusively on that basis. This produces verifiable answers instead of generic internet wisdom. New or changed documents are automatically reprocessed.
Introduction in five steps
- Define data sources: Which repositories, drives and formats should be searchable? Common formats such as PDF and Word are standard.
- Adopt access rights: Anyone who cannot open something today will not receive an answer from it either.
- Indexing and testing: Check with real everyday questions whether answers and sources are correct.
- Introduction in the team: Brief training on how to ask good questions and check sources.
- Maintenance: Sort out outdated documents – the quality of the answers depends on the quality of the filing.

Data protection: Your documents remain in Germany
Documents do not leave the German infrastructure for processing; a data processing agreement pursuant to Art. 28 GDPR applies. Access rights from your existing folder structure are retained. Costs and funding
The effort depends on the number and type of data sources and on the requirements for rights and hosting. The consulting and guided implementation can be subsidized – the software itself cannot. Through INQA-Coaching the federal government covers 80% of coaching costs nationwide (up to €11,520, vouchers until 30/06/2028).
