Set up AI document search: from data source to searchable knowledge

An AI document search is not simply switched on. The process involves selecting the sources, clarifying access rights, indexing, and testing with real everyday questions.

A AI document search is not simply switched on by uploading a folder. Anyone who wants reliable answers needs clarity in advance about sources, access rights and currency. A four-step approach has proven effective.

Step 1: Select sources

Not every repository should be connected from the start. It makes sense to begin with the documents that are requested most often – manuals, contract templates, internal policies. Outdated or contradictory documents are sorted out beforehand, because the search can only be as good as the documents it answers from.

Step 2: Clarify access rights

At the same time, it is defined, who may see which documents – ideally by adopting the existing folder or system permissions. This step is a major factor in later acceptance and is mandatory under data protection law, not optional.

Step 3: Indexing and initial tests

The selected documents are indexed so they can be searched. This is followed by an internal test run with real, everyday questions — not ideal cases. This is where it becomes clear whether employees’ wording leads to the relevant text passages, and where the knowledge base still has gaps.

  • Collect ten to twenty typical everyday questions
  • Check the search results against the actual documents
  • Identify gaps — missing documents, rather than missing technology, are usually the cause

Step 4: Rollout and ongoing maintenance

After a successful test run, the search goes live for an initial user group, usually a team rather than the entire company. An important part is a update process: New or changed documents must be re-indexed regularly, otherwise the knowledge base becomes outdated unnoticed.

Do I have to connect all documents at once?

No, quite the opposite. Starting with the documents that are requested most often is more sensible than beginning with a complete but unstructured data mass.

What if documents contradict each other?

Ideally, this is resolved before indexing. An AI document search makes existing contradictions visible, but does not resolve them itself.

How is it ensured that the answers remain up to date?

Through a regular update process in which new or changed documents are automatically re-indexed.
