
Integrating a chatbot into your website: what needs to be clarified first
The technical integration of a chatbot is usually done in minutes. What matters for success is the groundwork: knowledge base, handoff to humans, placement on the site, and privacy notices.
The technical integration of a chatbot is usually a matter of minutes – typically a script in the page template. What determines success or failure is something else: the preparatory work. Four points should be clarified before the widget appears for the first time.
1. Knowledge base: What does it answer from?
This is the most important question. A chatbot that responds from the company’s own approved documents provides reliable information. The first thing to clarify is therefore: Which documents are current? Where do they contradict each other? What may be answered publicly — and what explicitly may not, such as prices under negotiation or internal processes?
2. Handover: What happens when it does not know what to do?
A chatbot without a defined exit reliably causes frustration. It must be specified where a request goes if it cannot answer it: to a contact form, to a callback request, to an email address. This handover is not an admission of weakness, but the key quality feature.
3. Placement: Where and from when visible?
- Not equally useful on every page – it has a stronger effect on service and contact pages than in the legal notice
- Do not pop up immediately; a subtle entry point is better accepted than an overlay over the content
- On mobile devices, it must not block the use of the page
- Check for collisions with other elements, such as cookie banners or fixed buttons
4. Data protection: before going live, not after
Before integration, clarify: Where is the data processed, is there a data processing agreement, how long are conversation histories stored, and are the Privacy notices added? Privacy collected after the fact is usually more time-consuming than clarifying it in advance.
Practical example: the pragmatic start
A proven approach: First, the ten most common questions are collected, the ones currently coming in by phone and email. These ten are answered and documented properly, and everything else is handed over to a person. The bot initially goes live on a few pages. After two to three weeks, the actual conversations show which questions are really being asked — and the knowledge base is expanded in a targeted way instead of being inflated in advance on speculation.

How much technical effort does the integration require?
Usually low – in most cases, a script is embedded in the page template. The effort lies almost entirely in preparing the knowledge base content.
Will a chatbot slow down my website?
If the widget is loaded asynchronously and only when needed, the impact is minimal. You should still check this, as loading time is a ranking and usage factor.
On which pages should the chatbot appear?
Where questions arise: service, product, and contact pages. On purely legal pages, it adds little value and is more likely to be disruptive.
What if the chatbot says something incorrect?
That is why the knowledge base is limited to approved documents, and the bot hands over to a human when it is uncertain. In addition, the conversations should be reviewed regularly at the beginning.
