Pre-qualify inquiries with an AI chatbot instead of just answering questions
The greatest benefit of an AI chatbot rarely lies in answering questions, but in pre-qualifying inquiries: who is asking, what exactly is needed, how urgent it is. This means the inbox receives a process that can be handled instead of a line of text.
The greatest benefit of an AI chatbot for most businesses does not lie in answering questions, but in pre-qualifying inquiries. Instead of a line saying “Please call me back” in the inbox, you have a complete case: who is asking, what exactly is needed, by when, and how urgent it is.
The problem with the classic contact form
A contact form collects what someone enters on their own — usually very little. The result is a callback in which the basics have to be clarified first: What service is it about? What scope? What timeframe? This callback takes working time, often leads to rescheduled appointments, and not infrequently ends with the realization that the inquiry is not a fit at all.
More required fields do not solve this — they only reduce the number of submissions. The chatbot solves it differently: it asks situationally, instead of asking everything upfront.
What a qualifying chatbot asks
- Request – what service, what use case
- Framework – scope, scale, desired timeframe
- Urgency – urgent or planned
- Fit – does that even belong in the scope of services?
- Contact – only at the end, once it is clear that things will continue
The last point is more important than it sounds: anyone who asks for contact details last gets more complete inquiries, because the value of the conversation is already apparent at that point.
Sort out unsuitable inquiries early and politely
An often underestimated effect: a qualifying chatbot can clarify inquiries that do not fit the service portfolio politely and immediately — instead of both sides investing time in a meeting just to find that out. This saves working time and leaves a better impression than a later cancellation call.
Practical example: From form to case
A typical case: A service provider receives inquiries via the contact form, almost all of which require a follow-up call for clarification. After switching to a qualifying chatbot, each inquiry includes the issue, scope, timeframe, and urgency. The initial contact no longer starts from zero, but with the actual conversation — and the inquiries that would not have been a fit anyway have already been clarified beforehand.
By the way: Consulting and guided implementation of such assistants is eligible for funding. Through INQA Coaching 80% of consulting costs are covered, up to €11,520. Funding applies to the implementation, not the software itself – the funding checkshows in just a few minutes what is relevant for you.
Frequently asked questions about pre-qualification with an AI chatbot
Does a longer questionnaire not put people off?
Not if it is conducted as a conversation and the contact details come at the end. What puts people off are long forms with many required fields, not a dialogue that asks follow-up questions as needed.
What happens to the information collected?
It is passed on in a structured way to the responsible department — by email or directly into the existing system. Scope, retention period, and deletion concept are defined in advance.
Does this replace my contact form?
Not necessarily. Many businesses keep both: the form for anyone who prefers to write, and the chatbot for anyone who wants clarity quickly.
How does the chatbot know what counts as a suitable inquiry?
From the information stored about your range of services. This scope is defined together during setup — it is the actual content core of the project.
