1. Controller

The controller is the natural or legal person who alone or jointly with others decides on the purposes and means of the processing of personal data.

2. Hosting and server log files

This website is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin. Each time it is accessed, the hosting provider automatically collects technical access data (server log files): browser type and version, operating system used, referrer URL, hostname of the accessing computer, time of the server request, and IP address. This data is not merged with other data sources.

The data is collected on the basis of Art. 6(1)(f) GDPR. We have a legitimate interest in the technically error-free presentation and optimization of our website.

3. Contact form

If you use the contact form at /kontakt, we process the data you provide (name, email address, optional company, message) exclusively for handling your inquiry and in the event of follow-up questions (Art. 6(1)(b) GDPR, if the inquiry is aimed at entering into a contract; otherwise Art. 6(1)(f) GDPR). The data is stored on servers in Germany/the EU and is not passed on to third parties without your consent. It remains with us until you request deletion or the purpose of storage no longer applies; statutory retention periods remain unaffected.

4. Inquiry by email or telephone

If you contact us by email or telephone, we process your inquiry, including all personal data arising from it, for the purpose of handling your request. The legal basis is Art. 6(1)(b) GDPR, insofar as the inquiry is related to a contract; otherwise, our legitimate interest in effective processing (Art. 6(1)(f) GDPR). We do not pass on this data without your consent.

5. AI-supported customer communication

For customer communication, we use our own AI tools developed by us: the chatbot CaraChat and the AI telephone assistant Automaisa. Both analyze the content you voluntarily provide in order to automatically generate a suitable response. Please do not enter any particularly sensitive data (e.g. relating to health or payment methods).

For CaraChat, your inputs are transmitted to an AI service to generate the response, provided via the IONOS AI Model Hub of IONOS SE (Elgendorfer Straße 57, 56410 Montabaur); the chat histories are stored on a server of STRATO GmbH located in Germany. For Automaisa, your spoken request is converted into text (no audio recording); the technical provision is handled by STRATO GmbH, and response generation by IONOS SE. Both providers process data exclusively on servers within the EU; no transfer to third countries takes place.

The legal basis is our legitimate interest in the efficient, automated handling of inquiries (Art. 6(1)(f) GDPR). We have concluded a data processing agreement (DPA) with both providers. You have the right to access, rectification, erasure, and objection at any time; please contact info@bettersorted.de for this purpose.

CaraChat is loaded only after you have consented via the cookie notice at the side of the page (see section 11).

6. Appointment booking (Cal.com)

For appointment booking, we integrate the booking calendar from Cal.com, provided by Cal.com, Inc. The calendar opens as a pop-up window as soon as you actively click a booking button (e.g. „Kostenloses Erstgespräch“). After your click, your IP address and the data you enter in the calendar (name, email, selected appointment) are transmitted to Cal.com and processed there to enable the appointment booking.

The legal basis is our legitimate interest in simple, straightforward appointment scheduling as well as your consent through the active click (Art. 6(1)(a), (f) GDPR). A transfer to third countries (e.g. the USA) cannot be ruled out; corresponding providers generally rely on EU Standard Contractual Clauses.

7. Newsletter (Brevo)

On selected pages (home page, blog), you can subscribe to our newsletter. In doing so, we transmit your email address to our email service provider Brevo SAS, based in France, which handles the sending on our behalf. Registration uses the double opt-in procedure: after submitting the form, you will receive a confirmation email and will only be added to our contact list after confirming it.

The legal basis is your consent (Art. 6(1)(a) GDPR), which you give by submitting the registration form. Transfer to third countries cannot be ruled out with Brevo; the provider relies on the EU Commission’s Standard Contractual Clauses in this regard. Further information can be found in Brevo’s privacy policy at brevo.com/legal/privacypolicy. You can withdraw your consent at any time with effect for the future, for example via the unsubscribe link in every newsletter email or by sending us a message.

8. Automation Calculator

The interactive calculator at /automatisierungs-rechner runs entirely in your browser. Your entries (number of employees, hourly rate, selected processes) are not transmitted to or stored on our servers.

9. AI Readiness Check

The questionnaire at /ki-readiness-check calculates your result locally in your browser. Only when you voluntarily fill out and submit the contact form at the end do we process the data provided there (name, email address, optionally telephone number and message) as well as your answers and the calculated result in order to contact you about this result (Art. 6(1)(a) GDPR, based on your consent via the checkbox in the form). If an automation integration (webhook) is stored in our internal settings, the same information is additionally transmitted to the tool we use for further processing.

10. SEO and GEO Check

With the free checking tool at /seo-check, you can enter the address of a website and receive an automated evaluation of the publicly accessible homepage.

What we retrieve and store.We retrieve the page you specify publicly — just as a search engine would — and evaluate it technically. In addition, we retrieve the robots.txt, sitemap.xml and llms.txt files of the respective domain. We store the entered address, the time of the check and the check result. We do not store the content of the checked website itself.

Your IP address. To protect against abusive mass use, we do not store your IP address in plain text, but only as a non-reversible checksum. The legal basis is our legitimate interest in protecting the service against automated use (Art. 6(1)(f) GDPR).

Transfer to OpenAI. For the content assessment, we transmit text excerpts from the publicly accessible page you provided to OpenAI (OpenAI Ireland Ltd., Ireland, with processing also by OpenAI, L.L.C., USA). Only publicly accessible content from the website being reviewed and its address are transmitted — no information about you personally and no contact details entered by you. For the transfer to the USA, we rely on the EU Commission’s Standard Contractual Clauses. The legal basis is our legitimate interest in a meaningful evaluation (Art. 6(1)(f) GDPR). If you do not want this transfer, please do not use the tool.

Full report and contact details. You can see the overall score and the three most important findings without entering any information. You will receive the full report only after voluntarily providing your name and email address (optionally company and phone number). We process this data to send you the report and contact you about it (Art. 6(1)(a) GDPR, based on your consent via the checkbox in the form). The email is sent via our own mail server; the data is stored on servers in Germany/the EU.

Further processing (webhook). If an automation connection (webhook) is stored in our internal settings, your name, email address, the address checked, and the calculated score values are additionally transmitted to the tool we use for this purpose for further processing.

Retention period. We delete test results for which no contact request exists after 90 days at the latest. We delete your contact details as soon as the purpose of the contact no longer applies or you object; an informal email is sufficient.

Please note. Only check websites for which you are yourself responsible or for which you are authorized to carry out the check.

11. Cookies

This website uses technically necessary cookies that are required for the operation of the website (e.g. to store language settings and your cookie decision). The legal basis for necessary cookies is our legitimate interest in providing the website without technical errors (Art. 6(1)(f) GDPR).

The chatbot CaraChat (Section 5) is only loaded after you have consented via the cookie notice at the side of the page — before that, no connection is made to this third-party provider. You can withdraw your choice at any time by deleting the corresponding cookie in your browser; the notice will then appear again the next time you visit the page.

12. Website Analytics (Microsoft Clarity)

We use the analytics service Microsoft Clarity to understand how visitors use our website (e.g. mouse movements, clicks, scrolling behavior, anonymized session recordings). The provider is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, D18 P521, Ireland.

Clarity is loaded before you make your cookie decision and is not part of the categories requested in the cookie notice (Section 11). The legal basis is our legitimate interest in analyzing and improving our website offering (Art. 6(1)(f) GDPR). You can object to the processing at any time by blocking scripts from clarity.ms in your browser or by using an appropriate opt-out extension.

13. Conversion measurement (OpenAI)

Scope of processing We use an OpenAI conversion pixel on this website. It measures whether a visit to our website led to an enquiry — for example submitting the contact form, the AI Readiness Check or the SEO and GEO Check. Usage and device data together with the triggered event are transmitted to OpenAI. The content of your enquiry, in particular your name, email address and message, is not transmitted.

Legal basis The pixel is used solely on the basis of your consent pursuant to Art. 6(1)(a) GDPR and Section 25(1) TTDSG. Until you have consented, the pixel is not loaded and no data is transmitted to OpenAI.

Transfer to third countries Processing may also take place in the USA. There is a risk that US authorities access the data without you having effective legal remedies against this.

Withdrawal You can withdraw your consent at any time with effect for the future using the "Cookie settings" link in the footer.

14. Fonts

This website uses the fonts “Geist” and “Geist Mono”. They are delivered locally; no connection is made to external font servers.

15. Social Media

In the footer of this website, we link to our profiles on Instagram, Facebook, and LinkedIn. These are simple links, not embedded social media plugins or widgets: when you visit our pages, no connection is made to the servers of these providers. Only when you actively click one of the links do you leave our website and the privacy policies of the respective provider apply.

16. SSL or TLS encryption

For security reasons and to protect the transmission of confidential content, this website uses SSL or TLS encryption. You can recognize an encrypted connection by the fact that the address line of your browser changes from “http://” to “https://” and by the lock symbol in the browser bar.

17. Retention Period

Unless a more specific retention period has been stated in this notice, your personal data will remain with us until the purpose for data processing no longer applies. In the event of a justified request for deletion or withdrawal of consent, your data will be deleted unless there are legally permissible reasons to the contrary (e.g. tax or commercial law retention periods); in such a case, deletion will take place once these reasons no longer apply.

18. Your Rights

Under the applicable legal provisions, you have the right at any time to free information about your stored personal data, its origin and recipients, and the purpose of processing, as well as the right to rectification, erasure, or restriction of the processing of this data. You also have the right to data portability and may withdraw any consent you have given at any time with effect for the future. To do so, please contact the contact address stated under “1. Controller”.

If data processing is based on Art. 6(1)(e) or (f) GDPR, you have the right to object to the processing at any time on grounds relating to your particular situation (Art. 21 GDPR).

You also have the right to lodge a complaint with a data protection supervisory authority, in particular in the Member State of your habitual residence, place of work, or the place of the alleged infringement.
