In short

Seven metrics in particular show whether an AI chatbot is worthwhile: number of conversations, resolution rate without employees, forwarding rate, inquiries or appointments won, response quality in random samples, time saved in the team and user satisfaction. It is best to measure monthly and compared to the state before the start.

Many chatbots run for months without anyone knowing whether they are of any use. The most important values can be recorded with little effort. This article shows which numbers count and how to read them.

The 7 metrics at a glance

Metric

What it shows

As measured

Calls per month

whether the chatbot is found and used

Evaluation of the chatbot

Resolution rate

Proportion of calls without forwarding

resolved ÷ all conversations

Forwarding rate

how often people have to take over

forwarded ÷ all calls

Enquiries and Appointments

Direct business value

Number of leads and bookings recorded

Response quality

whether the answers are correct

Monthly sample of 20–30 interviews

Time savings

Relief in the team

Fewer standard emails and calls

Satisfaction

how users experience the chat

Thumbs up/down at the end of the call

Read solution quota correctly

The solution rate is the most popular metric – and the most frequently misunderstood. A high rate is only good if the answers are correct. A chatbot that "solves" everything, but gives incorrect information, does more harm than good. That's why the resolution rate should always be considered together with the quality of the answer.

Redirects are not a failure

Forwarding to a human is just right in individual cases. It is interesting why forwarding is done: If knowledge is missing in the content, you can update it. If it is about complaints or special cases, forwarding is intentional.

Business Benefits: Enquiries and Appointments

For many companies, what counts in the end is how many inquiries or appointments come via the chat, especially in the evenings and on weekends. How a chatbot specifically wins inquiries is described in the article AI chatbot for lead generation.

A simple measurement plan

  1. Record beforehand: How many standard emails and calls come per week?
  2. Evaluate monthly: conversations, resolution and forwarding rate, inquiries.
  3. Read the sample: Check 20-30 interviews for accuracy.
  4. Close gaps: Include common unanswered questions in the content.
  5. After three months, take stock: put time savings and benefits against costs.

Typical findings after the first few months

  • A large part of the questions are repeated – the content for them is doubly worthwhile.
  • Many conversations take place outside opening hours.
  • Unanswered questions show gaps on the website, not only in the chatbot.

Data protection during evaluation

Summarized values are usually sufficient for evaluation. Conversation content should only be stored for as long as it is necessary for quality control and should not be linked to user profiles. More in the article AI chatbot and GDPR.

Our AI chatbot provides these evaluations, and we discuss the figures with you in the first few months. By comparison, the telephone channel has its own metrics for the AI telephone assistant.

About the funding: The consultation and accompanied introduction can be funded with 80% via INQA coaching (up to €1,200 per day, up to 12 days). In the new federal states, BAFA consulting funding is also eligible until 31.12.2026 . Funding is provided for consulting, not software. The funding check shows what fits.

Frequently Asked Questions

How do you measure the success of a chatbot?

With a few metrics: number of conversations, resolution and forwarding rate, inquiries or appointments won, response quality in random samples, time savings and user satisfaction – monthly and compared to the previous state.

What is a good resolution rate for a chatbot?

That depends heavily on the questions. More important than a high value is that the resolved conversations have been answered correctly. Therefore, a random sample is always part of the answer quality.

How often should chatbot metrics be evaluated?

Monthly, in the first three months particularly attentive. Then it becomes clear which content is missing and whether the chatbot pays off.

Are forwarding to employees bad?

No. In the case of individual cases and complaints, they are intentional. The reason is interesting: If knowledge is missing, it is worthwhile to add to the content.
