A simple rule of thumb before implementation: Is the question asked identically several times every week and can it be answered clearly from existing documents? If so, it is a good candidate for the chatbot. If the answer is “it depends” or there is room for negotiation, it is better handled by a person.

Practical example: customer service team with a recurring flood of questions

A typical case: a customer service team answers the same ten to fifteen questions every day, while more complex issues are left unattended because capacity is tied up with the simple cases. After introducing a chatbot for exactly these recurring questions, the team’s working time shifts noticeably toward the cases that actually require human judgment.

Doesn’t a chatbot seem dismissive when handling complaints?

That is exactly why, when there are complaints, it should not try to solve the issue itself, but hand it over to a human quickly and without detours. This appears more professional than a chatbot that pretends to have a solution.
