In short

Modern AI telephone assistants speak with natural-sounding voices, understand freely formulated concerns and respond to queries. Whether callers accept them depends less on the voice than on the way the conversation is conducted: openly saying that an AI is speaking, short sentences, clear questions and a quick transfer if someone wants a human.

Modern AI telephone assistants speak with natural-sounding voices, understand freely formulated concerns and respond to queries. Whether callers accept them, however, depends less on the voice than on the way the conversation is conducted: openly saying that an AI is speaking, short sentences, clear questions and a quick transfer if someone prefers to talk to a human.

The most common concern of owners is: "My customers don't want to talk to a robot." Behind this is usually the memory of rigid voice menus ("Press 1"). An AI telephone assistant works differently. This article explains how it sounds and what makes a good conversation.

Technically, three building blocks work together: speech recognition converts what is spoken into text, a speech model understands the request and formulates the answer, and a speech synthesis pronounces it. How this works in detail is described in the article How does an AI telephone assistant work?.

How natural does the voice sound?

Current speech synthesis sounds largely natural: with emphasis, pauses and the right speed of speech. Two things in particular are perceptible: a short pause for thought before answering and occasional uncertainties about proper names. Both can be improved – names and technical terms can be stored, and short bridging ("One moment, I'll look") seem more natural than silence.

What really bothers callers

  • Obfuscation: An AI that pretends to be a human gambles away trust – and is also not permitted under the EU AI Act.
  • Long monologues: Nobody wants to hear three sentences of introduction on the phone.
  • Endless loops: If you are not understood twice, you want a person.
  • Missing results: A conversation without an appointment, callback, or response feels wasted.

Six rules for good conversation

  1. Start openly: "Hello, you are talking to the digital assistant of the Müller company."
  2. Keep it short: one thought per sentence, one question per sentence.
  3. Ask specifically: "May I write down your callback number?" instead of open questions.
  4. Summary: "I have noted: Heating is dripping, callback today from 2 p.m."
  5. Offer a way out: If desired, immediately forward to a person or promise a callback.
  6. Conclude in a friendly way: with a clear statement of what will happen next.

Choose a voice suitable for the company

Voice, tempo and salutation can be adapted: calmer and more formal for a law firm or practice, more approachable for a craft business. It is important that the greeting fits the company and that technical terms are pronounced correctly. The assistant serves multilingual callers in their language – see multilingual AI telephone assistant.

Transparency is a must – and an advantage

According to the EU AI Act, people must be able to recognize that they are interacting with an AI system. An honest sentence at the beginning fulfills this duty and at the same time lowers expectations to a realistic level. Many callers are then rather surprised at how well the conversation goes.

Testing instead of guessing

Whether the voice is right is best decided by your customers. Start with off-peak times or a line and listen to call logs. Our AI telephone assistant can be adapted to your company in terms of voice, greeting and forwarding rules.

About the funding: The consultation and accompanied introduction can be funded with 80% via INQA coaching (up to €1,200 per day, up to 12 days). In the new federal states, BAFA consulting funding is also eligible until 31.12.2026 . Funding is provided for consulting, not software. The funding check shows what fits.

Frequently Asked Questions

Do callers notice that they are talking to an AI?

You should notice it: The assistant introduces itself as a digital assistant at the beginning, which is also required by the EU AI Act. The voice itself sounds largely natural today.

Can I select the voice of the AI phone assistant?

Yes. Voice, tempo, salutation and greeting can be adapted to the company, technical terms and names can be stored.

What happens if the assistant doesn't understand someone?

He asks specific questions. If a concern is still not understood, he offers to forward or call back a person.

Do older callers accept an AI phone assistant?

Short sentences, a slow pace and a change to a person at any time are decisive. Callers who have little experience with technology can also cope with this conversational approach.
