The ten examples below each show the trigger, process, and typical benefit.
The guide explains the basics and approach Workflow automation for SMEs.
Overview
Example | Trigger | Typical benefit |
|---|---|---|

4. Order confirmation | Quote accepted | no forgotten steps |
5. Invoice receipt | Invoice in the inbox | no typing, faster approval |
6. Dunning | Due date exceeded | timely reminders, improved payment receipts |
7. Approvals | Application or order | traceable, no chasing after it |
8. Onboarding | Contract signed | everything ready on the first day of work |
9. Document filing | Document received | everything in the right place, immediately findable |
10. Reporting | cut-off date | figures without copy-and-paste |
1. Automatically capture and distribute inquiries
Inquiries come in via web form, email, or phone. The workflow creates the contact in the CRM, assigns the request to a topic, and routes it to the responsible person. For emails and calls, AI extracts the request; calls are taken by a AI telephone assistant on. Result: No inquiry remains sitting in the inbox.
2. Schedule appointments without phone ping-pong
Customers book available slots via an online calendar or the telephone assistant. The workflow sends confirmation and reminders, adds the appointment to the team calendar, and prepares the documents in advance if needed. For courses and seminars, the article Automate registration processes shows an example.
3. Create offers from the inquiry
Based on the inquiry details and your service catalog, a draft offer is created that only needs to be reviewed and approved. If there is no response, the workflow reminds you to follow up. More on this in the article Automating offer creation.
4. Order confirmation and project start
If an offer is accepted, the workflow sends the order confirmation, creates the project or order, schedules resources, and informs the people involved. In trades and crafts, the process often continues through to invoicing; see Digitize order processing in the skilled trades.
5. Incoming invoices
Incoming invoices are retrieved from the mailbox, read out, checked, submitted for approval, and handed over to accounting. Since 2025, all companies must be able to receive e-invoices, which makes automation easier, see Receive and process e-invoices and Automate incoming invoices.
6. Dunning
The workflow checks outstanding items daily, sends friendly payment reminders in fixed stages when due, and flags cases that require personal clarification. No one has to reconcile lists anymore.
7. Approvals and authorizations
Purchase orders above a threshold, leave requests, or contract drafts go through a fixed approval chain with reminders in case of delay. Every decision is documented with time and person. For purchase orders, the article describes the Automate the procurement process the process.
8. Onboarding new employees
With the signing of the contract, a checklist begins: create access accounts, order hardware, schedule onboarding appointments, send a welcome email. Central user accounts with Single Sign-On significantly simplify the “access” step.
9. Document filing
Incoming documents are recognized, named, tagged, and filed in the correct location. The guide Digital filing in the company.
10. Reporting
At the end of the month, the workflow collects figures from accounting, CRM, and time tracking, creates a standardized report, and sends it out. Instead of compiling numbers by copy and paste, management only reviews the result.
Where you should start
Start with the example where your team currently does the most copying, typing, or asking questions, and which occurs frequently. You can find an evaluation matrix for this in the article Which processes should be automated?, a tool comparison in the article Zapier, Make, n8n or Power Automate.
The consulting and supported implementation is eligible for funding: Through INQA-Coaching the federal government covers 80% of consulting costs, up to €1,200 per day for up to 12 days, i.e. up to €11,520 in funding. In Mecklenburg-Western Pomerania and the other new federal states, the BAFA consulting grant with 80% eligibility (50% in the old federal states). The consulting is funded, not the software. Which program is suitable is shown by the funding check.
Frequently asked questions
What is an example of workflow automation?
A typical example is invoice processing: an invoice arrives by email, is automatically read, assigned to the correct cost center, submitted for approval and, after approval, handed over to accounting without anyone typing in data.
Which workflows should an SME automate first?
Those that occur frequently, always follow the same process, and still require manual data entry today. These are usually inquiries, incoming invoices, approvals, or document filing.
How long does it take to automate a workflow?
A clearly defined workflow involving two or three systems is often set up and tested within a few weeks. It takes longer if older systems without an interface need to be connected.
Do I need new software for that?
Not necessarily. Many automations can be implemented with existing systems and an integration platform such as n8n or Make, which connects the applications.
