Manuals, contracts and internal policies are usually spread across different folders and formats. An AI document search answers questions directly from these documents – with a reference to the source, instead of general internet answers.
Important information is distributed in most companies distributed: in manuals, contracts, internal policies, old emails. The technology behind it: Retrieval-Augmented Generation
The underlying method is called Retrieval-Augmented Generation (RAG): The documents are indexed in a searchable way, and the language model responds exclusively on the basis of the text passages it finds – not from general internet knowledge. This is the key difference from a general chat assistant: the answer is tied to the company’s own approved documents and is therefore reliable.

A typical case: An employee is looking for the exact rule on an exception in the employee handbook. Does AI document search invent answers that are not in the documents?
No, if it — as in a RAG-based system — answers exclusively from the found text passages. If it cannot find a suitable passage, a properly configured system will say so instead of guessing.
Which documents can be connected?
In general, all common formats — PDF, Word, internal wikis, and in some cases emails as well. Which sources make sense is determined together during setup.
Do all employees see the same answers?
No. The answers depend on the access rights of the person asking the question – anyone who is not allowed to open a document will also not receive an answer from it.
How up to date are the answers?
As up to date as the last indexing run. In most organizations, this runs automatically at regular intervals, so new or changed documents are taken into account promptly.
