AI training online or on-site: Which format suits your team?
Image: AI-generated
On-site AI training is suitable for teams that need to practice together on real tasks and ask questions openly. Online is better suited for distributed locations, smaller groups and short in-depth courses. Content and certificate of participation are the same in both cases; the decisive factors are group size, technical experience and how much practical practice is to be carried out.

If you want to train your team in AI, you will quickly be faced with the question of format. Both paths have their justification. This article helps with the decision - and shows when a mixed form makes sense.
On-site and online in comparison
Criterion | On site | Online |
|---|---|---|
Practicing on real tasks | very good, help directly on site | good, with split screen |
Inhibition threshold for questions | low | higher, especially in large groups |
Multiple locations | Elaborate | Simple |
Concentration | high, less distraction | Breaks and shorter blocks necessary |
Technology Requirement | Laptops on site | stable connection, camera, microphone |
Organization | Room, Arrival | Date, Link |
When local is the better choice
- The team has little experience with AI tools and needs help trying it out for the first time.
- are to Rules and fears be discussed openly.
- The group works on common processes, such as customer service or administration.
- All of them are located at the same location.
When online works well
- The team is spread over several locations or in the home office.
- It's about a short in-depth study, for example for a roll or a specific tool.
- The participants are practiced with video conferences.
- The group is small, so that every person has their say.
Mixed form: basic on site, in-depth online
The combination often proves successful: basic training together on site so that everyone is on the same page and knows the rules, followed by in-depth online training for individual roles such as managers, sales or administration. What else managers should know is described in the article AI training for managers.
What is important in both formats
- Own tasks instead of standard examples – otherwise little sticks.
- Limit group size: Up to about 15 people there is time for questions.
- Practical component: actively practice at least one third of the time.
- Clarify rules: which tools, which data – more on this in the article Using ChatGPT in compliance with data protection regulations.
- Document: list of participants, contents, certificate.
Proof according to the EU AI Act – regardless of the format
According to Art. 4 EU AI Act, companies that use AI must take measures that support the AI competence of their employees. It does not matter whether the training takes place online or on site. It is important that it fits the tasks and tools and is documented – details in the article AI competence according to Art. 4.
We offer our AI training for companies in both formats: half-day basic training for up to about 15 people, in-depth training by role, with certificate of participation and documentation.
Regarding funding: Pure training is usually not subsidized by INQA coaching, because the program promotes consulting. If the AI introduction is accompanied as INQA coaching as a whole, the federal government will cover 80% of the consulting costs. The funding check shows which programs are eligible.
