INQA Coaching Hamburg: 80% funding for AI projects in SMEs

In short

INQA Coaching also covers 80% of consulting costs in Hamburg – up to €11,520 for twelve coaching days, with the company’s own contribution amounting to €2,880. The funding rate applies nationwide and is therefore significantly higher in Hamburg than the BAFA consulting grant, which here reaches only 50%.

INQA Coaching is a funding program of the Federal Ministry of Labour and Social Affairs (BMAS), financed by the European Social Fund Plus. It covers 80 % of the costs for a supported digitalization or AI project – nationwide and therefore also for companies in Hamburg. For the maximum of twelve eligible coaching days, this amounts to up to €11,520 grant at €2,880 own contribution.

Why INQA-Coaching in Hamburg is the stronger lever than BAFA funding

Many Hamburg companies first look for BAFA consulting grants – and then run into a disappointment: the often-cited funding rate of 80% applies at BAFA only in structurally weak regions, i.e. in the new federal states and Berlin. Hamburg is not included.

  • INQA coaching in Hamburg: 80% funding rate, up to €11,520 in grants – the rate is identical nationwide
  • BAFA consulting grant in Hamburg: 50% funding rate on a calculation basis of €3,500, i.e. a maximum of €1,750grant

For a genuine digitalization project, the difference is significant: INQA-Coaching provides around six times the funding volume in Hamburg. Anyone planning a larger AI or process project in Hamburg should therefore first check INQA-Coaching and use BAFA funding rather for compact individual consultations.

Who is eligible for funding in Hamburg

The requirements are uniform across Germany – a business in Hamburg is therefore assessed according to the same criteria as one in Munich or Schwerin:

  • Fewer than 250 employees
  • Annual revenue of no more than €50 million or annual balance sheet total of no more than €43 million
  • At least one full-time position subject to social security contributions
  • For at least two years in the market
  • Registered office and place of work in Germany – including freelance professions and non-profit organisations

This makes the typical Hamburg-based SME eligible for funding: trading and logistics companies around the port, agencies and media companies, IT service providers, skilled trades businesses, care services and social organisations.

What happens in concrete terms during the twelve coaching days

INQA Coaching is deliberately not an expert report that ends up on a shelf. The programme is participatory: solutions are not prescribed from the outside, but developed together with employees in the company and tested directly. That is precisely why the knowledge remains in the company after the coaching.

  • Assessment: Where exactly do friction losses and duplicate work arise in day-to-day operations?
  • Prioritization: Which two to three processes have the greatest leverage?
  • Testing: A concrete solution is tested in live operations, not just described
  • Embedding: The team is enabled to further develop the solution independently

Practical example: Hamburg-based service provider with 30 employees

A typical case: A service company in Hamburg with 30 employees loses hours every day to phone-based appointment requests and the manual transfer of information between sales and dispatch. In the coaching, the actual time involved is first measured – often it is significantly more than those involved estimate. A KI-supported assistant for the initial qualification of inquiries is then set up and tested in day-to-day operations. For twelve coaching days, the company pays €2,880 itself; the remaining €11,520 is covered by the funding.

Frequently Asked Questions about INQA-Coaching in Hamburg

Does INQA-Coaching also apply to companies in Hamburg?

Yes. INQA-Coaching is a federal program and applies in all federal states with the same funding rate of 80%. The requirement is that the registered office and place of work are in Germany – a Hamburg location meets this.

Why do I only get 50% under the BAFA funding in Hamburg?

The BAFA consulting grant is tiered regionally. 80% applies only in structurally weak regions, i.e. in the new federal states and Berlin. Hamburg belongs to the other regions, where the rate is 50% on a calculation basis of €3,500, i.e. a maximum of €1,750.

Does the INQA coach have to be based in Hamburg?

No. What matters is authorization as an INQA coach, not the location. bettersorted is an authorized INQA coach and supports Hamburg-based companies from Schwerin – the drive to Hamburg takes about an hour, supplemented by digital appointments between on-site days.

How long will the program run?

INQA-Coaching is planned for the current ESF Plus funding period through 2028. The BAFA consulting subsidy, by contrast, is limited until 31/12/2026 – anyone who wants to combine both should schedule the BAFA consultation first.
