What does an AI phone assistant cost? An overview of the cost drivers

The cost of an AI phone assistant depends mainly on call volume, the number of requests it should resolve on its own, and the integrations with existing systems. The rollout itself is eligible for 80% funding through INQA-Coaching.

An AI phone assistant answers incoming calls, captures the caller’s request, and routes it to the right place. Its cost cannot be stated as a flat rate – the price depends on three factors: the call volume, the number of requests it should resolve independently, and the integrations to existing systems such as calendars, ERP systems, or ticketing systems.

The three cost drivers

  • volume – how many conversations occur per month. A business with 200 calls per month operates on a different scale than a hotline with 5,000.
  • Functional depth – whether the assistant only accepts and logs requests, or whether it schedules appointments, retrieves order status, and organizes callbacks. Every task it completes on its own saves staff time, but increases setup effort.
  • Integrations – an assistant that writes to the calendar or looks up orders in the existing system needs an interface. This is usually the largest one-time cost.

Separate one-time and ongoing costs

It makes sense to consider two blocks separately: the one-time setup (analysis of the most common inquiries, conversation flow, integrations, test operation) and the ongoing costs (operation, conversation minutes, maintenance). Anyone who looks only at the monthly price underestimates the setup effort; anyone who looks only at the setup underestimates the operation.

What makes the calculation realistic

The honest benchmark is not “assistant versus zero,” but Assistant versus the current solution. The current solution also has a cost: staff time for answering and callbacks, missed calls outside business hours, interruptions to day-to-day operations. That is why every implementation starts with a measurement – how many calls actually come in, how many of them are repetitive, how many are lost today.

In our experience, a significant share of calls in SMEs recurrent and do not require specialist clarification: opening hours, status updates, appointment requests, transfers. It is precisely this share that determines how quickly an assistant pays for itself.

Practical example: business with 25 employees

A typical case: Over a two-week period, a company records how many calls come in and what they are about. The result is usually surprising — not the total number, but the share of similar requests. On this basis, it is decided which cases the assistant handles and which remain with people unchanged. This keeps the setup effort low and acceptance within the team high.

Frequently asked questions about the costs of an AI phone assistant

Why don’t you name a fixed price?

Because a reliable price depends on the volume and the desired functional scope. An assistant that answers calls and logs them is significantly leaner than one that schedules appointments and queries systems. We calculate after a brief initial consultation.

From what company size does it pay off?

It is less the number of employees that matters than the call volume and the share of recurring inquiries. Even small businesses benefit when calls regularly interrupt day-to-day operations or are lost outside business hours.

Is the software itself subsidized?

No. INQA-Coaching and the BAFA consulting grant subsidize consulting and implementation services, not license or software costs. However, the portion attributable to analysis, design, and guided implementation is eligible for funding.

What happens if the assistant does not understand a request?

Then it hands over to a person — that is the normal case and not an error. A properly configured assistant recognizes its limits and forwards the request instead of guessing.
