Interface automation: connect systems instead of typing in data

Interface automation means that your programs exchange data directly with each other – via APIs, webhooks or automated file imports. Instead of manually transferring an order from the online shop into the merchandise management system and then into accounting, the data flows on automatically. This saves time and eliminates transfer errors.

The problem: media discontinuities and isolated solutions

In many SMEs, good standalone applications have been built up over the years that do not communicate with each other. People provide the connection: copying, typing, reconciling Excel lists. Each of these media discontinuities costs time and is a source of errors.

The four ways to connect systems

1. Direct API integration

Modern software offers a programming interface (API). Through it, another system can read and write data — for example, “Create this customer” or “Give me all open orders.” This is the most stable approach.

2. Webhooks

A Webhook immediately reports an event to another system: “New order received.” Instead of checking regularly, the automation reacts the moment something happens.

3. File import and export

Older programs without an API can often export and import CSV or XML files. An automation retrieves these files regularly and processes them further – less elegant, but reliable.

4. AI-supported extraction

If data comes as a PDF, scan, or email, it canAI reads the relevant fields and transfers them in a structured way to the target system. This also allows suppliers, customers or authorities to be integrated even if they do not offer an interface.

Typical integrations in SMEs

  • Online shop → inventory management → accounting: Orders, stock levels and invoices without duplicate entry.
  • Website form → CRM → email: Inquiries are sent directly as contacts, and a confirmation is sent automatically.
  • Email inbox → ticketing system: Inquiries are recognized, assigned, and prioritized.
  • Time tracking → payroll accounting: Hours are passed on without an Excel intermediate step.
  • Calendar → phone or chat assistant:Appointments are booked directly, see AI phone assistant.

What you should pay attention to

  • One leading system per data type: Where is the customer address “correct”? Otherwise, systems overwrite each other.
  • Error handling: What happens when a system is unavailable? Good automations retry, log, and report.
  • Data protection: If personal data is transferred to external services, agreements for data processing.
  • Documentation: Someone needs to know which connection does what — otherwise every change becomes a risk.

Individual connections or a central platform?

A small number of connections can be built individually quite well. Beyond a certain number, things become hard to manage — then a central platform that bundles and monitors all processes is worthwhile. A step-by-step example: from inquiry to quote

  1. An interested party fills out the form on the website.
  2. A Webhook immediately reports the inquiry to the automation.
  3. About the API of the CRM, it is checked whether the contact exists; if not, it is created.
  4. The request is created as a case with responsibility assigned, and the responsible person is informed.
  5. The prospect automatically receives an acknowledgment of receipt with next steps.
  6. If a quote is created later, the industry software transfers the data from the CRM – without re-entering it.

Security and permissions

  • Minimum privileges: Each connection is granted only the permissions it actually needs.
  • Store credentials securely: API keys belong in protected storage, not in spreadsheets or emails.
  • Logs:Every transfer is logged in a traceable way – important for troubleshooting and data protection.
  • Encryption: Data is transmitted exclusively in encrypted form.

What delays interface projects

  • Missing access rights or licenses for a program’s API.
  • Poor master data, such as duplicate customers in two systems.
  • Unclear responsibility: Which system is the source of truth for which information?
  • Older software without export functions – often the only way forward is via files or AI-based extraction.

From practice

Two examples from our own work: For WINGS, the distance-learning provider of Wismar University of Applied Sciences, manual processing of application documents was replaced by a digital application assistant with automatic data transfer. For the Caritas integration supportdocumentation, appointment scheduling and the management of paper and Excel were converted to digital processes – together with the people who do the work every day.

In both projects, the bottleneck was not the technology, but the question of which data should flow where and when. Clarifying this in advance saves the most time later.
