Nextcloud in business: GDPR-compliant alternative to Microsoft 365 and Dropbox

Nextcloud is an open-source platform for files, calendars, contacts, chat and video conferencing as well as collaborative document editing, which runs on your own servers or with a hosting provider in Germany. This makes it a privacy-friendly alternative to Microsoft 365, Google Workspace and Dropbox: your data remains under your control. The trade-off is more operational responsibility – or a service provider who takes it on.

Why companies are considering an alternative

Microsoft 365 and Google Workspace are powerful, but they are operated by US corporations. In 2022, the German data protection authorities’ Data Protection Conference concluded that compliant use of Microsoft 365 could not be demonstrated on the basis of the documentation available at the time. Since 2023, the EU-US Data Privacy Framework has provided a new legal basis for data transfers, and Microsoft offers processing in the EU – many companies use the services with careful configuration. Others want to reduce their dependence on a single US provider in principle. For them, Nextcloud is the obvious option.

Advantages of Nextcloud

  • Data sovereignty: You decide where the data is stored – in-house or with a hosting provider in Germany.
  • Open code: Nextcloud is licensed under the open-source AGPLv3; the code is transparent and can be independently reviewed.
  • European provider: Behind the software is Nextcloud GmbH from Stuttgart.
  • No license fees per user for the free version; for companies, there are paid support contracts.
  • Public sector relies on it: Nextcloud is part of openDesk, the workplace package of the Center for Digital Sovereignty of the Federal Administration.

Disadvantages and limitations

  • Operations: Updates, backups and security must be organized – internally or by a service provider.
  • Habits: Anyone who works extensively in Outlook, Teams and Excel macros needs a transition period.
  • Integrations:Some industry software is closely tied to Microsoft.
  • Office compatibility:good for most documents; with very complex files, deviations may occur.

What Nextcloud costs

The software itself is free. Costs arise for the server or hosting, for setup and operation as well as optionally for an enterprise support contract with Nextcloud. Many German hosting providers also offer Nextcloud as a ready-made service. Compared with per-user licenses, this can pay off from a certain team size onward – but the key question is less the price than who takes over the operation.

Migration in five steps

  1. Inventory: Which services are used today? What is business-critical?
  2. Pilot: one team, one area – for example file storage – for a few weeks.
  3. Registration: central user management with Single Sign-On.
  4. Migration: Gradually transfer files, calendars and contacts.
  5. Training and support: brief introductions, contact persons for questions.

For technology enthusiasts

  • Nextcloud is based on PHP and a database (usually PostgreSQL or MariaDB) and can be run as a container.
  • For collaborative editing, an office server is connected (e.g. Collabora Online).
  • Login via SAML or OpenID ConnectConnection to Keycloak or Authentik is possible.

Example: a social service provider switches file storage

An illustrative scenario: An organization with multiple facilities has so far used network drives and private cloud accounts. With Nextcloud hosted by a provider in Germany, each facility gets its own area, managers share documents selectively, and staff can also access them on the go. Login is handled through a central user management system. After three months, calendars and video conferences are added, and later the AI assistant with a local model.

Typical mistakes when making the switch

  • Everything at once:Switching files, mail, calendar and chat all at once is overwhelming.
  • Adopting the old structure 1:1:A good opportunity to clean up folders.
  • No permissions planning:“Everyone sees everything” is rarely permissible.
  • Operations not clarified:Updates and backups need an owner.
  • No training:One hour of introduction saves weeks of frustration.

Costs and funding

The costs of switching to Nextcloud consist of three parts: Setup (planning, installation, integration, testing), ongoing operation (server or hosting, updates, monitoring, data backup) and support for employees (training, rules, points of contact). We do not quote fixed prices because scope and starting conditions vary greatly. The software itself does not incur license costs for open-source solutions.

Funding is not for the technology, but for the Consulting and guided implementation: Through INQA-Coaching the federal government covers 80% of coaching costs nationwide (up to €11,520, vouchers until 30.06.2028). A preliminary analysis can be subsidized through the BAFA consulting grant – with 80% in the new federal states, Lüneburg and Trier, otherwise 50%, for applications submitted by 31.12.2026. Frequently asked questions

Is Nextcloud GDPR-compliant?

Nextcloud can be operated in a GDPR-compliant way because you determine the storage location yourself. However, compliance depends on the operation: hosting in Germany, a data processing agreement with the hoster, permissions, encryption, and deletion rules.

Can Nextcloud completely replace Microsoft 365?

Yes for files, calendars, contacts, chat, video conferencing, and collaborative editing. For deep integrations with Microsoft software or complex Excel macros, a detailed review is needed.

Is Nextcloud free of charge?

The software is open source and can be used without license fees. Costs arise for hosting, operation, and optionally a support contract.
