For efficient automation workflows many companies rely on low-code tools such as Zapier, Make, n8n or Microsoft Power Automate. All four connect applications using a modular approach. The differences lie in hosting and data protection, process complexity and pricing model. For SMEs, however, the more important question is a different one: Who builds, monitors and maintains the workflows over the long term?
The four tools at a glance
Zapier
Very beginner-friendly, with a large number of ready-made app integrations. Good for simple if-then workflows. Pure cloud service; billing is based on the number of tasks executed, which can become expensive at high volumes.
Make
Visual editor that also clearly represents branched workflows with conditions, loops, and data transformation. Also cloud-based, billed by executed operations.
n8n
Can be self-hosted – on your own servers or with a hosting provider in Germany. This is attractive for data protection and sensitive data, and makes costs more predictable at high volumes. In return, someone is needed to manage servers and updates. Very flexible for code components and AI steps.
Microsoft Power Automate
A natural choice if the company works heavily with Microsoft 365, SharePoint, Outlook, and Teams. Integration into this environment is deep; connections outside it are sometimes license-dependent.

The comparison criteria
- Data protection: Where do the data pass through? For cloud services outside the EU, careful review and a DPA. Self-hosting gives more control.
- Integrations: Are there ready-made components for your software – or does it have to be done via a general API connected?
- Complexity: Simple workflows work everywhere. When it comes to branching, error handling, and large data volumes, the differences become clear.
- Cost model: Billing per execution favors small volumes; with many runs, it is worth considering self-hosting or flat-rate models.
- Support: Who notices when a workflow fails at night? Monitoring and notifications are essential.
Typical pitfalls
- Uncontrolled growth: Each department builds its own workflows, and no one has an overview.
- Dependence on one person:Whoever built the workflow is on vacation – and nobody understands it.
- Missing error handling:A changed field name in the CRM brings everything to a halt.
- Cost explosion:A workflow that runs in a loop consumes a month’s quota.
Low-code or custom solution?
Low-code tools are ideal for getting started and for clearly defined processes.
